Yes.
You need a simple CRM — but not Pipedrive at $80, and not HubSpot at $760.
What's really going on
You run two businesses that hand each other deals, and you want to grow to 3-5 ISAs. That's a real pipeline — a sheet won't hold it once callers are dialing. But you don't have 5 ISAs yet. You're pricing the org you want in 18 months, not the one you have this quarter. The mess in Airtable isn't Airtable's fault — it's that follow-up lives in your head, not in a rule. And Pipedrive at $80/seat is the Power tier; the actual entry seat is closer to $14-15. Someone sold you the top shelf.
What to do instead
- Pipedrive, ~$14-15/user/mo entry tier (check current pricing) — start on the base seat, not Power. It has the visual pipeline, mobile app for site visits, and Smart Docs for LOIs/PSAs is an add-on you buy only when you actually send 10+ a month.
- HubSpot Sales Hub paid Starter (check current pricing) — if permissioning is your dealbreaker, paid Starter gives you team seats with real role controls. Free was never going to give you that.
- A habit: one pipeline, one owner per deal, one next-step date on every card. No exceptions. This fixes 80% of what felt broken in Airtable.
First action, 30 min: open Pipedrive's trial, build two pipelines — "REI Acquisitions" and "DSCR Brokering" — and drag your last 15 live deals in with a next-step date on each. Do it before you hire ISA number one.
What you're being oversold
Pipedrive Power at $80 is for teams with project management needs you don't have yet. HubSpot's $760 tier is forecasting and sequences for teams past 10 reps. Outreach and Apollo aren't even in your weight class — those are 20+ seat outbound shops. Bigin is fine software; the support issue is real for you, so skip it. Doing nothing costs you the next ISA hire — you can't onboard someone into a system that lives in your head, and the deals that slip during that ramp are your real bill.
When to revisit this
When you've hired ISA number three and document volume passes ~10 LOIs a week — then Smart Docs, sequences, and dialer integration start earning their keep.
The part worth getting right
The fork is permissions. If ISAs owning their own book (and not seeing each other's leads) is non-negotiable for how you'll pay and manage them, Pipedrive's base tier handles that cleanly and cheaply. If you want marketing, docs, and sales in one place and will pay for it, HubSpot paid Starter is the honest answer — free won't cut it and you already know why. Pick wrong here and you migrate CRMs in eight months with 5 ISAs mid-dial. That's the migration nobody survives clean.
