What's really going on

You're one person juggling five channels and up to 50 conversations a month. The problem isn't tracking — it's remembering. You need a place that pings you on the right day about the right person, and holds the agreement PDF next to their name.

What to do instead

  1. HubSpot Free CRM (free) — one contact record per lead or partner, with tasks and follow-up reminders across email and manual notes for DMs. Free forever for one user, and it won't force you into a paid tier at your volume.
  2. Your phone's calendar + a "Partners" label in Gmail — for the agreements, drop the signed PDFs in a Google Drive folder linked from each HubSpot contact. No new tool.
  3. Habit: every Friday, 20 minutes, open HubSpot's Tasks view and clear the week's follow-ups. That's the whole system.

First action, next 30 minutes: sign up for HubSpot Free, import your last 20 outreach contacts as a CSV, and set a follow-up task on each one with a due date. Done.

What you're being oversold

Pipedrive, Salesloft, Apollo — anything pitched as a "sales engagement platform" is wrong here. Pipedrive charges per seat for a pipeline you don't need at 10–50 inquiries solo. Outbound tools solve a cold-prospecting problem; yours is warm follow-through. Doing nothing costs you the partner who would have sent three referrals this year but forgot you exist by September.

When to revisit this

When you hire a second person, or when you're closing enough that you need to see deal stages and forecast revenue — not just remember to reply.

The part worth getting right

The one call: are Instagram DMs a real channel for you, or a trickle? If most of your paying work comes from email, referrals, and LinkedIn, HubSpot handles it cleanly and you copy-paste the odd DM into a note. If Instagram is actually where half your leads land, you need a different setup — a phone-first inbox tool, not a desktop CRM, because HubSpot won't touch your DMs and you'll end up with two systems that don't talk. Get this wrong and you'll be migrating in six months. Priced in £ assuming you're in the UK — tell me if not.
