You need a simple CRM — and call logging, not another inbox.

What's really going on

Ten to fifty calls a month across four to ten people means nobody knows who called whom last. Email is the symptom; the phone is the problem. Without a shared record of every call and what was said, follow-ups get dropped, doubled, or forgotten. A CRM alone won't fix this — you need calls landing in it automatically.

What to do instead

  1. HubSpot Free CRM (free) — shared contact records so anyone on your team can see the last call, the last email, and what's owed next. Unlimited users on the free tier.
  2. Zapier (free tier) — pipe your phone system (RingCentral, OpenPhone, Dialpad, whatever you use) into HubSpot so every call auto-logs against the contact. No one has to remember.
  3. Habit: end-of-day 5-minute rule — every rep clears their "no next step" contacts in HubSpot before logging off.

First action, 30 minutes: sign up for HubSpot Free, import your contacts from wherever they live now (phone, Gmail, a notebook), and connect Gmail so replies auto-thread onto the contact. Do it before you touch call logging.

What you're being oversold

Someone will push you to HubSpot Sales Hub, Salesforce, or a full dialer suite at $75–$150 per user. At your volume, that's a few thousand a year for features you won't use. Freshsales bundles phone but locks you into their dialer — worth it only if you're replacing your phone system too. Folk is built for agency relationships, not inbound calls.

Meanwhile, every week you wait, a handful of callers go cold because nobody remembered to email them back. You know which ones — the "I thought you were calling them" ones.

The part worth getting right

The judgment call is your phone system. If your team already uses a VoIP that integrates with HubSpot (OpenPhone, RingCentral, Dialpad, Aircall), auto-logging is a checkbox and you're done in a day. If you're on cell phones or a PBX with no API, no CRM will capture those calls — you'll need to switch phones first, or reps will type call notes by hand, which they won't. One path is a free CRM this week. The other is a phone migration first, then the CRM. Pick the wrong order and you'll pay for a CRM nobody feeds.
