What's really going on

You get fewer than 10 leads a month. All by email. Three people can see the same inbox. A CRM won't sell more cars — it will just add a login. The real risk is a lead sitting in one person's inbox while the other two assume it's handled. That's a shared-inbox problem, not a pipeline problem.

What to do instead

  1. Google Sheets (free) — one sheet, one row per inquiry: date, name, car of interest, budget, last contact, next step, owner. That's your CRM until volume grows.
  2. Gmail / Outlook shared label (free) — one label called "Leads – Open". Every inquiry gets it. It comes off only when the car is sold or the lead is dead. Anyone can see what's open.
  3. Habit — 10-minute stand-up every morning. Walk the sheet top to bottom. Who's chasing whom today.

First action, 30 minutes: open a blank Google Sheet, name it "Leads 2026", type those seven columns across row 1, and paste in every email inquiry from the last 30 days. Share it with the other two on edit access.

What you're being oversold

Someone probably pitched you Freshsales or a full "automotive CRM" with test-drive tracking and DMS integration. At 10 leads a month, you'd spend more time filling fields than selling cars. Bigin is closer to right-sized, but even ₹550/user/month is money you don't need to spend yet. Doing nothing costs you the occasional lead that gets buried in one person's inbox — one lost car deal a quarter pays for a real CRM ten times over, but a shared sheet closes that gap for free.

When to revisit this

The day you cross 30 inquiries a month, or the day two of you double-reply to the same customer.

The part worth getting right

Decide who owns a lead the moment it lands. If email routes to one shared address and the three of you pull from it, a sheet plus a Gmail label is enough forever at this volume. But if each of you has your own inbox and leads arrive scattered — one to your Gmail, one to the showroom account, one via the website form — a sheet won't save you, because nobody will remember to log the ones that came to them personally. That's a different fix: force every channel into one inbox first, then the sheet works. Which one is you?
