You need a simple CRM — and Jira is what's actually costing you deals.
What's really going on
You have three real motions — outbound scouting, event follow-ups, referrals — feeding 50 to 200 conversations a month across a team of 4 to 10. That is past the point where Jira or a shared doc holds. Sales, CSM and AM each need to see the same customer at different stages, and Jira was built for engineering tickets, not for "who owns this deal, when did we last touch them, what did they say." The stuff you want recorded — call notes, next steps, renewal signals — has nowhere honest to live right now.
What to do instead
- Pipedrive (~$14-15/user/mo entry — check current pricing) — one pipeline for new-business, one for CSM/renewals. Per-rep ownership, activity reminders, LinkedIn and web-form leads land in the same place.
- Cal.com (free / open-source) — embed a booking link on the web form so inbound doesn't die in email tag.
- Habit: end-of-day 5-minute note — every rep updates deal stage and next step before closing the laptop. The tool only works if this happens.
First action, today: in Pipedrive, create two pipelines ("New Business", "Accounts"), add the stages you actually use, and import last month's Jira deals as a CSV. One person, 30 minutes.
What you're being oversold
If anyone has pitched you Outreach, Salesloft, Apollo or ZoomInfo — skip it. Those are for 20-plus rep outbound machines running cold sequences at scale; at your size and with referrals in the mix, you'd pay thousands a month for features no one opens. Doing nothing has a real cost too: at 50-200 conversations a month with no shared record, referral follow-ups get dropped and renewal signals get missed — the exact deals that should be easiest to close.
When to revisit this
When you cross ~15 seats or start running true outbound sequences with SDRs, revisit the outbound-tooling question — not before.
The part worth getting right
The judgment call is whether sales and post-sales share ONE pipeline or run TWO. If your CSM and AM mostly manage renewals and expansions on existing accounts, you want a separate Accounts pipeline with different stages — mixing it with new-business deals turns the board into noise within a quarter. If CSM is really just late-stage sales handoff, one pipeline with more stages is cleaner and cheaper. Get this wrong and you're rebuilding Pipedrive in six months, or worse, migrating again.
