You need a simple CRM — but your real problem is running three businesses through eight doors alone.

What's really going on

You are one person answering leads for a talent agency, a scraping business, and software sales across eight channels. At 10–50 inquiries a month, the volume is fine. The pain is that every lead lands somewhere different, and every lead belongs to a different version of you. A CRM will not tell you which "you" a WhatsApp ping is for — a column will.

What to do instead

  1. Zoho Bigin — free for 1 user, paid tier low per-user (check current pricing) — one pipeline, one custom field called "Business line" with three values. That is your whole CRM.
  2. WhatsApp Business app — free; labels act as a free pipeline — three labels named after the three businesses, plus "Hot / Waiting / Dead". Do the same in Instagram DM with saved replies.
  3. Habit: one 20-minute end-of-day sweep. Every lead from every channel gets one row in Bigin before you close the laptop.

Do this in the next 30 minutes: open Bigin, create the pipeline, add the "Business line" field with your three options, and paste in every open lead from the last 7 days from memory. If you cannot remember them, that is the diagnosis.

What you're being oversold

Salesforce Sales Cloud is built for large orgs with dedicated admins and is massively over-built for someone under 10 people. HubSpot Sales Hub is for teams that have outgrown free — you have not. Anyone pitching you Respond.io or a WhatsApp API setup right now is solving a team problem you do not have. Doing nothing costs you the lead you forgot to reply to on Thursday — and at your volume, one dropped deal a month is the whole software bill for a year.

When to revisit this

When one of the three businesses starts producing more than 30 leads a month on its own, or the day you hire your first helper.

The part worth getting right

Are these three businesses one funnel or three? If the same buyer ever buys two of them — the scraping client who becomes a software client — you run one pipeline with a "Business line" tag and life is easy. If the buyers never overlap — agents, developers, SaaS buyers — you are running three companies in one head and the fix is not a CRM, it is picking which two to shrink or spin off. Get this wrong and you will spend a year building pipelines for a business that should have been split, or splitting a business that should have stayed one. Your last 20 closed deals know the answer. Do they share names?
