What's really going on

You're 2-3 people handling 10-50 inquiries a month across five channels. That's not a pipeline problem — that's a "which of us replied to that referral" problem.   1. HubSpot Free CRM (free, unlimited users) — one shared inbox for email + web form + logged calls, with contact ownership so nothing sits unclaimed.
  2. Buffer or similar scheduler (check current pricing) — keep social scheduling OUT of your CRM. Different job, different tool, don't pay to merge them.
  3. Habit: end-of-day 5-minute sweep — each person clears their assigned contacts to "replied" or "next step booked". No exceptions.

Do this today: in HubSpot, connect your shared email inbox and turn on the web form. One person, 30 minutes. That alone closes half the leak.

What you're being oversold

Someone will pitch you Pipedrive or HubSpot Sales Hub with "sequences", "deal rotting", and marketing automation bundled in. At 10-50 inquiries with 2-3 people, sequences are a solution to a problem you don't have — and Sales Hub's per-seat pricing scales fast once you're hooked. Skip Folk too; agency-style relationship CRMs are wrong for MSP renewal cycles. The cost of doing nothing isn't dramatic — it's one referral a quarter going cold because three of you assumed the other replied. For an MSP, one lost managed-services client is a year of revenue.

When to revisit this

When you hire a fourth person, or when someone asks "did we ever get back to them?" twice in one week.

The part worth getting right

The real fork is whether your MSP revenue lives on new logos or existing contract renewals and MRR expansion. If it's new logos, HubSpot Free is right and you'll want light sequences within a year. If it's renewals and expansions, you need renewal-date tracking and QBR reminders more than a sales pipeline — a different setup entirely, and putting it in HubSpot the wrong way means rebuilding in twelve months.
