// The situation

Exhibition stand builder Lead channels: Web form, WhatsApp. Inquiry volume: 10–50. Team size: 4–10.

The verdict · Jul 7, 2026

Yes.

You need a simple CRM.

What's really going on

Stand build is a project sale. One inquiry can be a 50,000 AED booth or a 500,000 AED one, and the buyer decides months out. With 10–50 inquiries a month across 4–10 people, the problem isn't volume — it's that a WhatsApp chat with a German pharma client sits on one phone while the web form reply sits in someone else's Gmail. Deals don't die loud. They go quiet after "send me a 3D render," and nobody notices for three weeks.

What to do instead

  1. Zoho Bigin — free for 1 user, low per-user after (check current pricing in AED) — one pipeline: Inquiry → Brief → Render → Quote → Won. Every lead has an owner and a next date.
  2. Wati — paid monthly (check current pricing) — connects your WhatsApp number to a shared inbox so client chats stop living on personal phones and get logged against the deal.
  3. Habit: every Monday, one person reads every deal past its next-action date out loud in the standup.

First action, 30 min: open Bigin, create the five stages above, and drop in every live inquiry from the last 60 days with the deal value and the client's next expected step. You'll see which ones you've already lost.

What you're being oversold

Someone will pitch you Salesforce, HubSpot Sales Hub, or a Zoho One bundle with marketing automation, quoting, and a 3D asset library. You don't need any of it at 10–50 inquiries. Twilio's WhatsApp API is wrong too — it's for developers, not a stand builder. The real cost of doing nothing isn't a number you'd trust me to invent; it's the two or three big-booth quotes a year that go cold because nobody chased on day 10.

When to revisit this

When you're quoting the same client for a second show and can't remember what they hated about the first stand.

The part worth getting right

The judgment call is whether your WhatsApp traffic is mostly one-to-one sales chats or actual multi-agent support flow. If it's the first — a project manager talking to one client about one booth — Bigin alone is enough and Wati is overkill for now. If it's the second — three people replying to the same client's number, or you're running WhatsApp broadcasts to past exhibitors — you need Wati wired in from day one, or the CRM will always be missing half the conversation. Get that wrong and in six months you're migrating chat history, which nobody survives cleanly.
