You need a simple CRM — but the twist is your CRM is Claude Code plus your MCP, not the UI you pick.
What's really going on
You're at $300k with two reps heading to three, inbound only, and every school touches you on a different channel — form, email, WhatsApp. The real risk isn't losing deals; it's a demo request sitting in one rep's WhatsApp while the other emails the same school. You've already made the interesting call: manage the relationship, not the deal, because schools renew and refer. That means your "pipeline" is really a contact timeline with open threads on it. - WhatsApp Business → HubSpot — get every school conversation logged onto the contact record, not stuck on one phone. Do this before you add rep #3.
- One "next touch" habit per school — every contact record has one open action with a date. That's the whole discipline. Churn shows up as records with no next touch for 90 days.
First action, 30 minutes: open HubSpot, import your current schools as Companies, and have Claude write one contact record end-to-end via the API so you know the shape works before you commit.
What you're being oversold
Someone will push you to Sales Hub paid for sequences and forecasting, or worse, Salesforce because you sell B2B. At $300k and three reps, both are wrong — you'll pay per seat for features your MCP+Claude setup already replaces. Doing nothing costs you the school that went quiet after the demo because no one owned the follow-up — one lost renewal at your ACV is more than a year of any of these tools.
When to revisit this
When Claude Code stops being the main way reps interact and they're living in the CRM UI itself — then the UI's quality starts to matter.
The part worth getting right
The one call: is your MCP the system of record, or is the CRM? If the CRM is the source of truth and MCP just reads it, HubSpot Free is fine and you're done for two years. If your MCP holds the real school data (enrollment, contract terms, renewal dates) and the CRM is just a thin log Claude writes to, you need a much lighter store — Airtable or even a Postgres — because HubSpot's data model will fight you every time a school doesn't fit its Contact/Company/Deal shape. Pick wrong and you migrate in twelve months.
