// The situation

Pharma Company in Manila, currently we maintain three medical representatives that visit doctors across their area. We do about 10 visits a day, as well as visiting stores. Each doctor also orders, they also order medicine from us, and they do prescriptions. We also track sales in drugstores, but that's offsite, but mostly the doctors and their orders, as well as visit history and interaction history.

Yes.

You need a simple CRM — but not the pharma suite a rep is about to pitch you.

What's really going on

Your real asset is the doctor file — not the visit count. Each doctor has a prescribing pattern, a preferred rep, a favourite SKU, a pharmacy they tend to send scripts to. Right now that lives in three reps' heads. When a rep is sick, on leave, or quits, that doctor goes cold and the drugstore sell-out dips a month later and no one connects the two.

What to do instead

  1. Zoho Bigin, free for 1 user then ~$7/user/month on annual billing — 3 team pipelines, built-in phone, email, workflows. Make one pipeline "Doctor coverage" (stages: new → profiled → regular visits → prescribing → ordering) and a second "Drugstore sell-out" so secondary sales don't get mixed with doctor relationships. Check current PH pricing before you buy.
  2. Pipedrive, ~$14–15/user/month if your reps live on their phones — stronger mobile app for field use, cleaner check-in-from-the-road flow.
  3. A Monday 15-minute huddle — each rep reads out three doctors from last week, what was promised, what shipped. The tool only works if the habit does.

First action, today: open Bigin's free plan, import your doctor list from whatever sheet exists, add the fields "last visit date," "last order SKU," and "linked drugstore." One rep, one hour.

What you're being oversold

Someone will try to sell you Veeva, Salesforce Health Cloud, or a full pharma SFE suite like SANeForce or Bizom. Zoho FSM runs $25–$55/user/month and those pharma suites run far higher per seat — they're built for 50-rep field forces with compliance officers, not three reps in Metro Manila. At your stage, every peso you spend on that is a peso not spent on samples and travel. Doing nothing costs you the doctor who switched brands because your rep forgot the follow-up — you'll see it in a drugstore report three months late and never trace it back.

When to revisit this

When you hire a fourth rep or start tracking more than ~150 SKUs across drugstores.

The part worth getting right

There's one call that decides your setup, and getting it wrong means rebuilding in six months. Is your business really doctor-led (the rep's relationship drives the prescription, and orders follow) — or is it order-led (the doctor is really a buyer, and visits are order-taking runs)? If it's the first, your primary record is the doctor and visits hang off them. If it's the second, your primary record is the order and the doctor is just an attribute. Pick the wrong one and your reports lie to you all year.
