Yes.
You need a simple CRM — but not for the reason a sales rep will tell you.
What's really going on
You're selling long, complex deals in two regulated worlds — sports and healthcare. Those cycles run months, not days. With 10-50 inquiries a month across email, phone, LinkedIn, and referrals, the sheet still holds the data fine. What it can't do is show each rep "my deals, my next step" without someone overwriting a cell. That's where leads go quiet — not lost, just unowned.
What to do instead
- HubSpot Free CRM (free, unlimited users) — move the sheet into one shared pipeline with per-owner views. Free covers everything you need at your volume.
- Zapier (free tier) — auto-create a contact when a LinkedIn lead form or inbound email hits, so nothing depends on a human remembering.
- A Monday 10-minute pipeline standup — every deal older than 14 days gets a named next step or gets killed. The habit matters more than the tool.
Today, import your sheet into HubSpot (Contacts → Import → File), assign an owner to every open row, and delete anything older than 90 days with no reply. Thirty minutes, one person.
What you're being oversold
Someone will pitch you HubSpot Sales Hub, Salesforce Health Cloud, or a "healthcare-compliant" CRM at $80-150/user/month. You don't need any of it yet — not at 10-50 inquiries with a four-person team. Pipedrive is fine too but costs ~$15/user/month for something HubSpot Free does at your stage. Doing nothing costs you the referral deals — the ones where a warm intro sits in someone's inbox for three weeks because no one owned it.
When to revisit this
When one deal cycle produces a signed contract and you realize no one can reconstruct who said what, when — you've outgrown free.
The part worth getting right
The real fork is whether healthcare buyers ever send you PHI (patient data, identifiable records) during the sales conversation. If they don't — if it's all exec-level pilot talk — HubSpot Free is safe and you're done. If they do, even once, in an email attachment or a demo, you need a BAA-signed setup from day one, and HubSpot Free won't sign one. Get this wrong and you're either overspending on compliance you don't need, or you're one forwarded email away from a real problem.
