What you're being oversold
HubSpot and Zoho will both sell you a "growth suite" — Sales Hub, Service Hub, Zoho One, project management modules, client portals. At 1-3 users with bespoke deals, you'll pay for seats and modules you never open, and the client-facing "planning tracker" features rarely survive contact with a luxury clientele who'd rather get a personal email. Every week you delay costs you the one inquiry that slips because nobody remembered to follow up on day four.
When to revisit this
When you hire a third full-time planner or cross ~15 active trips in flight at once — that's when a shared workspace and a real client portal start earning their keep.
The part worth getting right
The one call is your client-facing planning tracker. If your clients actually want a login to watch progress bars, Pipedrive alone won't do it and you'd want a Notion or ClickUp client view bolted on — a different build. If what they really want is a well-timed personal email at each milestone (which is what luxury usually wants), then Pipedrive plus Make automations sending from your Gmail is the whole answer, and a portal is a distraction that will cheapen the experience.
