What's really going on
The work coming in is warm — past clients, referrals, partners. That's the good news. The bad news is you can't see who you've talked to, when, or about what, because your history lives in hundreds of files. A CRM dropped on top of that mess just gives you a searchable mess. The real job right now is consolidation, then a light habit for tracking outreach.
What to do instead
- Google Sheets or Excel (free) — merge every spreadsheet into ONE master sheet. Columns: name, email, phone, last service, last contact date, notes. Dedupe by email.
- HubSpot Free CRM (free) — once the master list is clean, import it as contacts. Log emails from Gmail or Outlook with the free extension so every touch is timestamped without you thinking about it.
- Habit — before you send any "new service" email, filter the list by last-contact-date and last-service. Never blast all of them.
First action today: open a new sheet called "Master Client List 2026." Pick your five biggest spreadsheets. Copy-paste them in, one tab each. That's it — one hour, one person. The merging comes after.
What you're being oversold
Someone will pitch you HubSpot Sales Hub, Salesforce, or a "marketing automation platform" to solve this. None of them fix dirty data — they charge you monthly to store it. Folk and Freshsales are fine tools but pointless until the list is one list. Every month you wait, more clients forget you exist and hire whoever emailed them last. That's the cost — silent, invisible, and already running.

The part worth getting right
The judgment call is what counts as "one customer." If most of your spreadsheets are one row per JOB (same person, five rows across ten years), you need to dedupe by email or phone before import, or HubSpot will treat them as five strangers and your outreach will look sloppy. If it's already one row per PERSON, you can import almost as-is and be running this week. Get this wrong and you either email the same client three times about the same service, or spend a month cleaning inside a CRM instead of a spreadsheet — which is much harder to undo.
