// The situation

I run Tournedo, a small Indian travel agency (2–3 people) selling mostly honeymoon/couple packages to short-haul international destinations (Mauritius, Thailand, Vietnam, Bali, Dubai), typically ₹2–3L, mostly land-only. Enquiries come from Meta ads, Instagram, website forms, WhatsApp and calls; most selling happens on WhatsApp and phone. Prices come from local DMC quotes and supplier rate sheets. Volume: ~40–50 active deals at a time. We currently have both Pipedrive and Bigin set up but use them loosely (no follow-ups scheduled, values/lost reasons mostly blank). Goal: let the team spend time only where human judgement matters (understanding the couple, designing the trip, pricing, fixing problems) and have the system handle everything else. Question: do we actually need a CRM at all? Consider alternatives such as WhatsApp Business + a shared spreadsheet/Airtable, a travel-specific itinerary/quote tool, or a custom-built system with AI agents. Argue both sides honestly, then give a clear recommendation with the minimum setup we should run for the next 6 months and what would tell us to change it. Lead channels: WhatsApp, Instagram DM, Web form. Inquiry volume: 50–200. Team size: Just me.

Yes.

You need a simple CRM — and you already own two of them.

What's really going on

You run a solo honeymoon desk with 40–50 live deals worth ₹2–3L each. That's roughly ₹1 crore of pipeline sitting in your head and on WhatsApp. Both Pipedrive and Bigin are open with blank values and no follow-up tasks — so neither is a CRM yet, both are expensive address books. The real leak isn't tool choice; it's that nothing nudges you when a Bali couple goes quiet on day 3.

What to do instead

  1. Zoho Bigin, Free for 1 user, or Express at ₹400/user/month billed yearly plus GST — one pipeline, every enquiry gets a deal value and a next-action date. Express includes WhatsApp integration and 30 automations, which Pipedrive won't match at India pricing.
  2. WhatsApp Business app, free — use Labels as a backup pipeline (New / Quoted / Hold / Booked / Lost) so nothing lives only in chat.
  3. Habit: every evening, 10 minutes, close the loop on Bigin — fill lost-reason on dead deals, set a follow-up on live ones. Do it today: in Bigin, open Settings → Pipelines, rename stages to match your real flow (Enquiry → DMC quote sent → Negotiation → Advance paid → Booked), then drag your 40 active WhatsApp chats onto the board.

Cancel Pipedrive this week. One pipeline, one brain.

What you're being oversold

Don't let anyone sell you a "custom AI agent stack" or a travel-specific itinerary SaaS at this volume — you'd spend two months configuring software instead of designing trips. Bigin's free plan allows only one user, so a team of two or more needs a paid plan — Express is enough; skip Bigin 360 and skip graduating to full Zoho CRM. Wati or AiSensy are real tools, but the free WhatsApp Business app is enough for a solo shop at low volume. Doing nothing costs you the 2–3 honeymoon couples a month who go cold because no one followed up on day 4 — at ₹2–3L a trip, that's the whole point.

When to revisit this

When you hire your second seller, or when a week passes where you can't name every live deal from memory.

The part worth getting right

One judgment call decides your next six months: are you closer to 50 enquiries a month or 200? At 50, Bigin Free plus the WhatsApp Business app is your whole stack — ₹0, done. At 200, you'll miss first-replies on Instagram and WhatsApp while you're on a call with a Mauritius DMC, and you need Bigin Express plus a WhatsApp API layer like AiSensy for templated auto-replies and broadcasts. Guess wrong low and couples ghost you in peak season. Guess wrong high and you pay for software you don't touch.
