No.

You don't need a CRM.

What's really going on

Your work isn't won in a pipeline. It's won on reputation, site visits, and whether the liaisoning actually closes on time. The real risk isn't a forgotten lead — it's a stalled approval file at the panchayat or TCP office that nobody chased for two weeks. That's an operations problem, not a sales one. A CRM would sit empty while a certificate sits on someone's desk.

What to do instead

  1. Google Sheets (free) — one sheet with two tabs: "Inquiries" (name, channel, site, quoted, status) and "Approvals in flight" (client, which office, submitted date, next follow-up, officer name). This is your whole system.
  2. WhatsApp Business (free) — labels for "Quoted", "Site visit due", "Approval pending", "Invoiced". You already live on WhatsApp; make it do the tracking.
  3. Habit — every Monday, 20 minutes, three of you on a call: walk the Approvals tab top to bottom. Any file untouched 10+ days gets a named owner and a date. Open the sheet now, add the two tabs, dump every live inquiry and every pending approval into it today.

What you're being oversold

Someone will push Salesforce or a full Freshsales setup at you. Both are built for teams chasing hundreds of cold leads a month with a dedicated sales person — you have neither. You'd spend ₹15–25k a year and a month of setup to replicate what a sheet does in an afternoon. The real cost of doing nothing isn't lost leads — it's one liaisoning file slipping a quarter and a client who stops referring.

When to revisit this

When you hire a fourth person whose job is business development, or when inquiries cross 80 a month and you're forgetting who you quoted.

The part worth getting right

The one call to make: are you losing money on the sales side or the delivery side? If inquiries are slipping — people ask, you forget to quote, they go elsewhere — a sheet plus WhatsApp labels fixes it. If approvals are slipping — files stuck at RCC, GCZMA, panchayat for weeks — no CRM on earth helps; you need a liaisoning tracker with officer names, submission dates, and a weekly chase ritual. Pick the wrong one and you'll build the wrong system. Which side is actually bleeding for you right now?
