// The situation

We want a crm what has components of deals, 5k project with 2k, 2k, 1k components. sales system needs to also send mass emails out, like newsletter monthly. I need the info to go to microsoft sharepoint list via power automate, via easy peasy form or something

The verdict · Sep 9, 2026

Yes.

You need to fix your data flow before any CRM will help.

What's really going on

You want deals with split components, mass newsletters, and a pipe into SharePoint via Power Automate. Those are three separate jobs. Most CRMs will fight you on at least one — either the deal splits get ugly, the newsletter sender is weak, or the SharePoint sync needs a paid connector. Pick the wrong center of gravity and you'll rebuild this in six months.

What to do instead

  1. HubSpot Free CRM (free) — deals with line items handle your $2k+$2k+$1k split cleanly, and free forms push to Power Automate via the HubSpot connector.
  2. Airtable (free tier, paid ~$20/user/mo) — if SharePoint is truly the source of truth, Airtable's forms and Power Automate connector are simpler than a CRM, and you can model deal components as linked records.
  3. Send the newsletter from a real sender (Mailchimp, Brevo — check current pricing). Don't ask your CRM to be a newsletter tool; that's how you end up on a paid tier for the wrong reason.

Today, in 30 min: build one Microsoft Form pointed at your SharePoint list with fields for deal name, total, and three component amounts. See if it holds your real deals before you buy anything.

What you're being oversold

Someone will push you to HubSpot Sales Hub or a Pipedrive paid tier "so it all lives in one place." It won't — you already said SharePoint is the destination. Paying $15-50/user/month for a CRM whose data you immediately export defeats the point. Doing nothing costs you a month of duplicate entry and a newsletter list that lives in someone's inbox.

When to revisit this

When you have more than ~30 open deals at once, or a second person needs to own deals without stepping on yours.

The part worth getting right

Decide where the deal actually lives. If SharePoint is the real record and the CRM is just a pretty front-end, use Microsoft Forms + Power Automate + a newsletter tool and skip the CRM entirely — you'll save the seat fees. If the CRM is the real record and SharePoint is a downstream report, then HubSpot Free with line items is your center, and Power Automate pulls from it. Picking wrong means rebuilding your automations twice. Which one is the source of truth?
