You need a simple CRM — but a tiny one, wired to Meta.

What's really going on

Meta Ads optimizes for whatever signal you send back. Right now you're sending "lead" for everyone who opens WhatsApp — qualified or tire-kicker. So the algorithm hunts for more tire-kickers. To fix the campaign, you need to tell Meta which leads were actually qualified, using their Conversions API with offline events. That needs a place to mark each lead's status — that place is your CRM.

What to do instead

  1. WhatsApp Business app (free) — label every new chat: "Qualificado", "Não qualificado", "Visita marcada". That's your pipeline today, no cost.
  2. HubSpot Free CRM (free) — one contact per lead, one property called "Lead Quality". Free tier holds this fine. Later it connects to Meta via the Conversions API to send qualified-lead events back.
  3. Habit — end of each day, mark yesterday's leads Qualified/Not. Ten minutes.

First action, today: open Meta Events Manager → your pixel/dataset → Settings → set up a custom conversion called "Qualified Lead". Then in your Meta Ads campaign, optimize for that event instead of "Lead". You'll wire the CRM feed to it next.

What you're being oversold

Someone will pitch you Follow Up Boss — it's built for US agents and priced for US commissions, wrong country, wrong currency. Others will push HubSpot Sales Hub paid before you've filled the free tier. Skip both. Respond.io is real, but overkill until you're running IG + FB + WhatsApp with a team.

Doing nothing costs you the ad spend itself — Meta keeps buying you the wrong audience until you correct the signal.

When to revisit this

When you're getting more WhatsApp chats per day than you can label by hand, or when you hire a second agent sharing the number.

The part worth getting right

One judgment call decides your setup: are leads landing in WhatsApp with a real phone number and name you can push to a CRM, or just anonymous "Click to WhatsApp" opens? If it's the first, you can send qualified-lead events back to Meta through HubSpot's Conversions API integration and the algorithm learns fast. If it's the second, you need a WhatsApp API layer first (a chatbot that captures name + intent before the chat starts) — otherwise there's nothing to send back and the CRM is just a notebook. Same goal, two very different builds. Get this wrong and you'll spend a month wiring tools that never talk to Meta.
