// The situation

iT consulting and MSP company bootstrapping a new startup in a new area. Zero local clients. All team members new. Scoped pipeline process from zero to won. Lead channels: Email, Phone calls, Web form, Referrals. Inquiry volume: <10 / mo. Team size: 2–3.

The verdict · Aug 11, 2026

Yes.

You need a simple CRM — and you need it before the first client, not after.

What's really going on

You have three people, four channels, and fewer than ten inquiries a month. That's low volume, but it's the exact setup where things fall through: an email lands with one person, a phone call with another, a referral goes to whoever picked up. With zero local clients, every single inquiry is precious. The problem isn't sales throughput — it's shared ownership and follow-up discipline while three new teammates learn how each other work.

What to do instead

  1. HubSpot Free CRM (free, unlimited users) — one shared pipeline all three of you see, with email sync so nothing hides in a personal inbox.
  2. A shared inbox rule — every web form and info@ email auto-creates a contact in HubSpot. Takes 20 minutes to wire.
  3. A 15-minute Monday pipeline standup — walk every open deal, name the next step and the owner. This is the habit; the tool is just the board.

Do this today: open HubSpot Free, create one pipeline with five stages (New → Qualified → Scoped → Proposal → Won), and connect the three of your work emails under Settings → Email Integrations. One hour, one person.

What you're being oversold

Someone will pitch you Pipedrive or paid HubSpot Sales Hub. At under 10 leads a month with 2-3 users, per-seat billing is money set on fire — you don't have the volume to justify $45/mo in seats, let alone Sales Hub. Skip Freshsales and Folk too; they solve problems you don't have yet. Doing nothing costs you the referrals — in a new market, one dropped referral in the first six months can mean no second referral from that source, ever.

When to revisit this

When you're consistently past 30 inquiries a month or you hire a fourth person who sells — then Pipedrive's per-rep pipeline math starts to matter.

The part worth getting right

The one call is how you split ownership. If your three people are truly interchangeable — anyone can scope, anyone can close — then a single shared pipeline in HubSpot Free works forever and you never pay. But if one of you is the technical scoper and the others are finders, you need per-stage ownership rules from week one, or every deal will sit waiting for the scoper while the others assume it's handled. Get that fork wrong now and in a year you're migrating to a paid tool to fix a habit problem you could've solved with a whiteboard.
