What's really going on

You're a solo broker running 10–50 leads a month across WhatsApp, phone, web, and referrals. That's four inboxes and one brain. The risk isn't losing a call log — it's quoting the same client twice with different numbers, or forgetting which trade-in you promised what for. You need a client record, not a call transcript.

What to do instead

  1. Google Contacts + Google Drive (free) — one contact per client with custom fields for current vehicle and trade. Attach a Drive folder per client for quotes as PDFs. Ugly, but free and instant.
  2. A lightweight CRM like Pipedrive or HubSpot Free (check current pricing) — one deal per client with custom fields (current vehicle, trade value, quote history). WhatsApp click-to-chat from the record. This is the real answer once you outgrow the folder.
  3. WhatsApp Business app (free) — labels for "quoted", "test drive", "closed". Do this in the next 30 minutes: open WhatsApp Business, create four labels, tag every open chat. You now have a pipeline.

What you're being oversold

Someone will tell you to buy Salesforce, Zoho One, or a WhatsApp API tool like Respond.io or Twilio. Skip all of them. API tools are for teams routing hundreds of chats — you're one person with a phone. Field-service tools like Jobber or Housecall Pro aren't built for brokered vehicle sales. Doing nothing costs you the quote you can't find when the client calls back three weeks later ready to buy.

When to revisit this

When you're juggling more than five open quotes at once and can't remember what you offered each person without scrolling.

The part worth getting right

Decide what a "client record" means for you. If most clients buy one car and disappear, you need a deal-shaped tool — one quote, one trade, one close, archive. If your best clients come back every 2–3 years and refer friends, you need a contact-shaped tool that holds every car they've ever owned through you. Those are two different setups, and picking wrong means rebuilding in six months when your referral engine kicks in.
