// The situation

2 sales people, targets for each of them: • Minimum 40 new prospects entering a sequence a week, from at least 20 accounts • Of those, at least 15 signal-based: job change, upcoming trade show, funding, launch, or hiring a motion or brand designer • Minimum 160 prospecting touches a week, at most 5 per prospect • Calls go to prospects who engaged Lead channels: Email, Phone calls, Web form, LinkedIn.

The verdict · Oct 26, 2026

Yes.

You need a CRM — but a plain CRM won't run this motion.

What's really going on

You have two reps hitting 40 new prospects a week into sequences, 160 touches a week, with a 5-touch cap and signal triggers. That is 80 prospects and 320 touches a week, across four channels, with rules. A spreadsheet cannot enforce "max 5 touches," "call only if engaged," or "flag job change." You need a sequencer that owns the daily task list, with a lightweight CRM underneath to hold accounts, deals, and ownership. The real risk is spending on a heavy CRM and still having nothing that tells each rep what to do at 9am.

What to do instead

  1. Apollo Basic — $49/user/month on annual billing, unlimited sequences, CRM integrations, waterfall enrichment, and 6 intent topics — this runs the email + dialer + LinkedIn task sequences, caps touches, and surfaces signals in one place. For two reps that is roughly $98/month.
  2. HubSpot Free CRM — the account and deal layer under Apollo, free for both reps. Do not pay for Sales Hub Starter yet; sequences, workflow automation, custom reporting, A/B testing, and forecasting are all gated behind the Professional plan at $100 per seat per month, and that is Apollo's job anyway.
  3. One shared "signal shift" habit — 30 minutes every Monday, both reps add that week's job-change, funding, launch, and hiring-designer accounts into a single Apollo list before anyone sends a touch.

First action, today: open Apollo's free plan, build one sequence called "Signal — Hiring Designer," set it to 5 steps (email, LinkedIn view, email, call-if-opened, email), and drop in 5 real accounts hiring a motion or brand designer this week.

What you're being oversold

HubSpot Sales Hub Professional costs $100/seat plus a $1,500 onboarding fee and sequences and automation are gated behind it — at 2 reps that is a $3,900 first-year bill for features Apollo gives you at a fraction. Outreach and Salesloft will pitch you harder; they are built for 20+ rep orgs and will quote accordingly. Doing nothing costs you the signal window — a funding round or a new design hire is a 2-week opening, and without a sequencer firing on triggers, your reps will find those accounts a month late.

When to revisit this

When you add a third or fourth rep, or when "call only engaged prospects" starts leaking because nobody can see who opened what.

The part worth getting right

Your five signals do not come from the same place. Job change and "hiring a motion or brand designer" live in LinkedIn Sales Navigator. Funding lives in Crunchbase or a tracker. Trade shows live in event lists. Launches live in press and Product Hunt. If three or more of your signals can be covered by Apollo's intent topics plus a Sales Nav seat, one Apollo + HubSpot stack is enough. If funding and trade shows are your top two, you need a signal layer feeding the sequencer, and buying Apollo first will leave your best accounts untouched. Decide which two signals drive the most pipeline before you pick the tool.
