// The situation

Luxury jewelry and crystal shop. In-store, website, and Instagram live sales. Live sales are tracked with claim ticket written out in the moment then invoiced via shopify. Team uses gorgias to deal with customer support from email, text, and instagram dm. Lead channels: Instagram DM, Email, Phone calls, Web form, Walk-ins. Inquiry volume: 200–500. Team size: Just me.

The verdict · Jul 11, 2026

No.

You don't need a CRM. You need Gorgias to do more of the job it's already halfway doing.

What's really going on

You're solo, running a jewelry shop across five channels, doing live sales with paper claim tickets and Shopify invoices. The bottleneck isn't lead tracking — it's that a claim ticket written in the moment is a promise sitting on paper until you invoice it. Between 200-500 inquiries a month across DM, email, phone, web, and walk-ins, the leaks are: live-sale claims that never get invoiced, DMs that go cold after the live, and web-form asks that sit behind email. A CRM pipeline won't fix any of that. Faster follow-up on the channels you already own will.

What to do instead

  1. Gorgias (already paying) — turn on Shopify integration so every ticket shows the customer's order history and open invoices. Tag every live-sale claim as "claim-unpaid" and set a rule to auto-remind at 24h and 48h.
  2. Shopify Draft Orders + abandoned checkout email — for every claim, create the draft order the same night; Shopify chases the unpaid link for you.
  3. Habit: end-of-live reconciliation. Every live, before bed, one sheet: name, item, claim status, invoice sent Y/N. Ten minutes.

First action, tonight: open Gorgias → Settings → Rules → New rule. Trigger: message contains "claim" or "mine". Action: add tag "claim-unpaid" and assign to yourself. Ship it in 20 minutes.

What you're being oversold

Someone will pitch you Pipedrive or HubSpot to "organize your leads." Pipedrive is per-seat pipeline software for outbound sales teams — you're one person doing inbound retail. HubSpot Free is built for teams of 3-10 sharing inbound email; you'd spend a weekend setting it up and never open it again. Neither knows what a claim ticket is. Doing nothing costs you the live-sale claims that quietly never get paid — even one $400 piece a week that slips is real money by year end.

When to revisit this

When you hire a second person who also answers DMs — the moment two humans touch the same conversation, you need shared ownership, not just tags.

The part worth getting right

Here's the fork: is your leak claim-to-invoice (people claim in the live, you never bill them) or inquiry-to-sale (DMs and web forms asking about a piece, then silence)? If it's claim-to-invoice, the fix lives inside Shopify — draft orders and payment reminders, no new tool. If it's inquiry-to-sale, the fix lives inside Gorgias — a saved-reply library and a 24h follow-up rule per channel. Guess wrong and you'll spend a month building the wrong system on top of a busy solo shop. Which one is actually bleeding?
