You don't need a CRM.

Why

Thirty-five trials/month with three people touching them is small enough that a CRM would be overkill, but big enough that "WhatsApp + Google Calendar with no tags" guarantees dropped trials. The real problem: an Instagram DM lands on someone's phone, the Squarespace form lands in an email nobody owns, and the front desk only sees who walked in. There's no single list of "trials this week and who's chasing them."

What you actually need

  1. WhatsApp Business app (free) — move the studio number off personal WhatsApp. Create four labels: "Trial booked", "Trial attended", "Needs follow-up", "Converted". Every inbound DM and form reply gets one.
  2. Google Sheets (free) — one tab "Trials 2026" with columns: Date inquired / Name / Channel (IG/Form) / Trial date / Attended? / Follow-up date / Owner / Status. The front desk owns this sheet.
  3. A habit — the 24h post-trial text — every person who attends a trial gets a WhatsApp from the front desk within 24 hours with a membership offer. Non-negotiable. This single habit will move your conversion more than any tool.

Do this today

Open your Squarespace form settings → Storage → connect form submissions to a Google Sheet (or forward to a dedicated Gmail like trials@yourstudio). Then create the "Trials 2026" sheet with the eight columns above and paste in every trial from the last 14 days across Instagram DMs and form emails. By tomorrow morning the front desk opens one tab and sees every trial, who booked, who attended, and who hasn't been chased.

What to ignore

Skip HubSpot Free, Pipedrive (€14/user/mo), and especially anything Mindbody or Glofox is pitching you at this size — studio management software at 35 trials/month is paying €100+/month to solve a labelling problem. Ignore anyone selling you an Instagram DM automation tool; with two instructors you reply by hand, faster and warmer.

What doing nothing costs you

A conservative 20% slippage on 35 trials/month = ~7 lost trial-to-member conversions. At even €60/month membership × 8 months average retention, that's roughly €3,300/month in recurring revenue you're leaving on the mat each year of inattention.

When to revisit this
